本文通過對外貿信函中用詞誤區的分析,探索如何做到精練語言、明晰語義和言辭達意,以提高商務英語寫作的實際操作能力。

商務英語函電在國際商務活動中起著舉足輕重的作用。
外貿函電的寫作目的不外乎傳遞信息、說服客戶,因此寫作既要合乎現代社會節奏的要求,做到清楚、簡潔、具體,又不能失去應有的禮貌、完整和節奏。
商務英語與普通英語不同,具有獨特語境下的詞匯特點和風格,要求用詞規范嚴謹。
而在現實生活中,人們由于對外貿函電的特點不甚了解,常常進入誤區,影響商務溝通質量。
本文就商務英語寫作中存在的贅述、模棱兩可和以我為中心的用詞誤區作一些初步探討,以期有助于商務英語信函寫作。
一、表述誤區――贅述
商務英語函電不需要大量華麗的詞藻來堆砌。
外貿函電的寫作中的用詞應力求簡明扼要,讓人一目了然。
例如,應該盡量少用and,but,however這些讓句子變得冗長的連詞。
一切空洞冗長、言之無物的詞語都應該摒棄不用。
例如,I believe that the best plan is to draw guidelines for situations like this.這句話中的“I believe”,“like this”就是冗余的詞匯,應該刪除。
如果改為“The best plan is to draw guidelines for such situations.”句子就簡潔明了得多。
此外,商務信函還要盡量避免使用過長或生僻的詞匯,多使用日常生活中常見的詞語,如果可以用一個單詞來表述,就盡量不要用詞組,才能避免羅嗦,去除贅言。
例如:
從上表中可以看出,若用過多的詞匯來表達一個或兩個詞就能表達的意思,就會使表述內容拖沓冗長,觀點模糊不清,浪費讀者的時間。
因此,商務寫作要盡量使用精練的語言,避用陳詞濫調或者拼寫復雜的單詞。
二、語意誤區――模棱兩可
外貿函電不同于一般交際文體,假如商務文本中的詞語意義含混不清,則有可能會給公司帶來直接的經濟損失。
因此,商務英語信函的措辭一定要謹慎、準確和具體,任何模棱兩可的詞語都應當避用,才能使信函意義明確,表達思想更加鮮明突出。
例如,Freight rate increased substantially last month.(上個月運費大幅度上漲。
)這句話中substantially(大幅度)的含義就有些大而籠統,使得語意不夠明晰。
若將句子改成:Freight rate increased 35% last month.(上個月的運費增加了35%。
)閱讀者就會對增長的幅度一目了然。
基于同樣的原因,在商務信函中,諸如about 5,000 metric tons中的“about”之類的模糊字眼也應該避用。
因為這里的“about”可能有著不同的釋義:可能是2.5%,或者5%,甚至是10%的數量差額。
不確定的釋義會為以后的貿易爭端埋下伏筆。
又如:to load/discharge in customary quick dispatch.(按慣例快速裝貨/卸貨)其中,“customary quick”(按慣例快速)一詞的意義模糊,讓人摸不著頭腦,搞不清具體的裝卸貨時間到底是多久。
這樣大而籠統以及似是而非的詞語很可能會引發不必要的貿易糾紛。
此外,商務寫作的遣詞造句也要避用明顯有歧異的詞語。
如:The damage to paper packages of this nature is unavoidable despite they are apparently sufficient at time of loading.(這種紙包裝貨物即使是在裝寄時顯然完好,導致損害也是不可避免的事。
)句中的“apparently(顯然)”一詞有歧義,“apparently”的意思到底是“clearly”(根據事實情況明顯無疑的),還是“in appearance”(從外表觀察),都無從得知。
但是如果將句子改成:The damage to paper packages of this nature is unavoidable despite they appear to be sufficient at time of loading.閱讀者就能確定詞語的含義了。
又如介紹產品的質量:Our microphone has magnificent quality.(我們的麥克風質量卓越。
)信函中magnificent(卓越)一詞太過籠括,卓越的程度難以界定,沒有確定的內涵和外延,讓閱讀者感覺很抽象。
如果改為:Our microphone has clear sound quality.(我們的麥克風音質清楚。
)就能具體體現麥克風在音質清晰上的特質。
三、語氣誤區――以我為中心
禮貌客氣的用詞能夠給對方營造一個良好的合作氛圍。
在商務函件中應避免使用容易激怒或者得罪他人的用語,而多站在對方的角度考慮問題,使用“You Attitude”(以客為先),而不是“We Attitude”(以己為先)。
在語氣態度上,任何一方試圖凌駕于對方之上都會遭致失敗,失去商機。
如在商務函件中“You didn’t send the receipt to us.(你沒有把收據交給我們。)”的表述可改為“We did request that you send us the receipt.(我們曾經要求您把收據寄給我們。)”。
兩個句子相比較,前者語氣強硬,明顯帶有指責、居高臨下的感覺,不利于對方作出對“你”有益的舉動;而后者語氣明顯緩和,更有善意提醒的意味,因此更加容易被別人所接受。
禮貌的用語和客氣的措辭在商務信函中使用頻繁,直接體現了寫信人的自身素質,同時還有利于樹立企業良好的形象,為業務雙方營造良好的合作氛圍。
商務寫作中宜多用You,少用We/I,這樣可以維護對方的自尊,讓對方感受到我們是為您設身處地地著想。
雖然自己希望達到贏利目的,但是也要讓對方感覺到不吃虧,兩方商務關系的建立是一個持久雙贏的過程。
如在外貿函電中告知對方:We have received your request for permission to use our warehouse in April.We are pleased to inform you that you may take it.Would you please come and fill out the necessary paperwork before May?(我們已經收到你申請在四月份使用庫房的要求。
我們很高興地通知您,您可以使用您所申請的庫房空間。
可否請您在三月之前到這里來填寫一些必要的文書?)這組文字過多地強調了“我們”,從自己的'角度闡述問題,沒有給予對方足夠的尊重,因此不容易引起對方的合作興趣,不利于進一步作出對“你”有益的決定。
而如果能在字里行間體現出對商務伙伴利益的尊重,在互利平等的基礎上表達自己的意見,這種形式則更容易被對方所接受。
因此,可以運用“You Attitude”(以客為先)的原則將上面的句子改為:“Good news,Lucy!The warehouse you requested will to available to use in April.Please come by the office before May to fill out some necessary forms.”(好消息,露西!你可以在四月使用之前所申請的庫房。
請于三月份之前到這里來填寫一些必要的文書。
)第二個例子站在“You”的角度和立場,讓人讀起來親切中肯,感覺舒服。
句中沒有使用“我”或是“我們”的字眼,避免給對方產生“以己為先”的感覺。
同樣的內容,后者更加符合英語商務寫作的規范和目的,而且言簡意賅,一語中的。
隨著時代的發展,商業英語中的用詞日趨簡練、平易和坦率。
言簡意賅的措辭可以大量縮短發件人和收信人處理這些信息的時間。
一封不合乎規范的商務信函,則會令對方費解,有損公司的形象。
若商務英語函電中用詞產生歧義,輕則導致溝通失敗,浪費了談判的寶貴時間,重則帶來直接的經濟損失。
在惜時如金的快節奏社會中,商務信函的寫作應該避免復雜冗長的表達、模棱兩可的措辭和以己為先的用語誤區,才能使文本言辭達意,合乎規范。
